Clinic Policies

The policies below are intended to protect your comfort, privacy and safety while supporting a respectful and professional treatment environment. Please contact Solace Massage Therapy if you have any questions before your appointment.

Safe & Respectful Care

Solace Massage Therapy is committed to providing a safe, respectful and professional environment for every client and RMT.

Massage therapy is a regulated healthcare service, and all treatments are entirely therapeutic and non-sexual. Sexual comments, requests, gestures, deliberate exposure or other inappropriate conduct will not be accepted. Harassment, discrimination, threats, aggression and abusive language or behaviour are also not permitted within the clinic. If behaviour compromises professional boundaries or the safety and comfort of anyone in the clinic, treatment will be ended immediately. The client will be instructed to leave, and future appointments will be declined.

This commitment works both ways. Every client will be treated with dignity, compassion and respect. Professional boundaries will be maintained throughout the therapeutic relationship, and clients are encouraged to ask questions, express concerns or request that treatment be modified or stopped at any time.

Solace is intended to be a place where both clients and practitioners feel safe, comfortable and respected.

Consent, Comfort & Draping

Your comfort and sense of safety are essential parts of your care. Before treatment begins, your Registered Massage Therapist will discuss the proposed treatment plan, including its purpose, expected benefits, potential risks or side effects, available alternatives and any areas of the body that may be treated.

You decide how much clothing, if any, you would like to remove. You will remain appropriately covered throughout the appointment, and only the area being treated will be uncovered. Treatment may also be provided through clothing or draping when appropriate.

Massage therapy is always based on informed and ongoing consent. You may decline treatment of any area, ask questions, change your pressure preference or request that a technique be modified or stopped at any time. Consent to one area or technique does not imply consent to another.

Assessment or treatment involving a sensitive area will only be proposed when clinically appropriate. The reason for treatment, draping and nature of the contact will be discussed in advance, and written consent will be obtained as required.

Your preferences may change from one appointment to the next. You are always encouraged to communicate what feels comfortable for you.

Payment, Receipts & Insurance

All treatment fees, applicable taxes and enhancement costs will be communicated before services are provided. Payment is due at the end of each appointment unless another arrangement has been made in advance.

An official receipt will be provided following payment. Receipts will accurately identify the date, amount paid, treating practitioner and service provided. Receipts cannot be altered to show a different date, treatment, amount or provider.

Massage therapy coverage varies between insurance plans. Clients are responsible for understanding the requirements and limits of their individual policy. A receipt from a Registered Massage Therapist does not guarantee reimbursement, and Solace Massage Therapy cannot determine whether a particular treatment or expense will be approved by your insurer.

Products or services that fall outside the scope of massage therapy will be identified and itemized separately and may not be eligible for insurance reimbursement. Please contact your insurance provider directly if you are uncertain about your coverage, referral requirements or annual limits.

Illness & Appointment Safety

Please reschedule your appointment if you are experiencing a fever, vomiting, diarrhea, a contagious respiratory illness or another condition that could place you, your therapist or other clients at risk.

If you develop a new rash, skin infection, significant health change, acute injury or have recently undergone surgery or a medical procedure, please contact Solace before your appointment. Treatment may need to be modified, postponed or approved by an appropriate healthcare professional.

If you begin to feel unwell during treatment, please let your therapist know immediately. Treatment may be adjusted or ended based on your symptoms and comfort.

Massage therapy is not a substitute for urgent or emergency medical care. Clients experiencing severe, sudden or concerning symptoms should seek appropriate medical attention.

Illness can arise unexpectedly. When possible, please provide as much notice as you can so that your appointment time may be offered to another client. Any applicable fees will be addressed according to the Cancellation Policy and the individual circumstances.

Accessibility & Individual Needs

Solace Massage Therapy is committed to providing care that respects each client’s individual needs, preferences and abilities.

Please contact the clinic before your appointment if you require an accommodation or additional assistance. Whenever reasonably possible, treatment and communication will be adapted to support your safety, comfort and participation.

Available adjustments may include changes to positioning, additional bolstering, treatment through clothing, modified lighting or music, reduced conversation and the use of unscented products. Clients may also request the presence of a support person when appropriate.

Although unscented treatment products may be requested, the clinic cannot guarantee a completely fragrance-free environment.

You are encouraged to communicate any mobility, sensory, communication, cultural, religious or personal considerations that may affect your care. Only information reasonably necessary to provide safe and effective treatment will be requested.

If a particular need cannot be safely accommodated, this will be discussed openly and, when appropriate, alternative options or resources will be suggested.
